Privacy policy

According to the EU General Data Protection Regulation (GDPR), a database owner must inform those registered in a clear way. This privacy policy fulfils the information obligation.

Please note that this privacy policy applies to the United Founders community and all its member companies. This privacy policy informs you what data we can collect about you when you buy our services or contact United Founders or its member companies, and what we can do with the data. We can change this privacy policy from time to time, so please check it regularly.

DATA CONTAINED IN THE DATABASE

We process our clients’ and potential clients’ contact information in our client and marketing database. We have asked and will always ask for our potential clients’ consent to handle their data. We process the data in our ERP system. For ERP, we use Value Frame, which is a Visma Solutions product with robust security features. We collect the following data about people who are added to our customer database:

– name

– position in the company/job title

– phone and/or mobile number

– the company the person represents

– address (company address or other address)

– email

– offers, projects, classifications, events and memos the person is affiliated with

– emails sent to the person via our ERP system

THE PURPOSE OF THE DATABASE

The database is used according to the Personal Data Act for nurturing and developing client relations, providing and developing our services, informing clients of services, events and products, and billing. New contacts and personal data are added to the database when necessary in order to provide our services to clients, for example if we receive an offer request or are delivering a project to a client. We also process data from potential clients who have given verbal or written consent for processing their data.

Along with collecting and processing personal data, we may also send you personalised marketing and customer messages. We will only contact people who have consented to receiving these messages. You can unsubscribe at any time and instructions for unsubscribing are included in every message we send.

We store all acquired contacts and personal data in our client and marketing database, even if there are no current or upcoming projects underway regarding that contact. We do this to ensure the quality of our service and in case there is future contact with the client. If you want us to modify or erase your personal data from the database, please be in touch with our contact person. You can also contact them to check whether your personal data is in our client database.

SHARING YOUR DATA

We will not share, sell or lease your data to any third parties. We will also not share or move your data outside the EU. All United Founders member companies have access to the same database. This allows us to serve you in the best way possible.

PROFILING AND AUTOMATIC DECISION-MAKING

The GDPR defines profiling as the automated processing of personal data. We will not use your personal data for profiling.

DATA PROTECTION

The database is secured against outside use. The database is protected using personal usernames and passwords. Users are bound by confidentiality. Only the employees of United Founders and its member companies whose work requires them to handle the information in the database have access to it. These employees are bound by professional confidentiality.

SOCIAL MEDIA AND WEBSITES

We collect anonymised user data about the use of our social media (Facebook and LinkedIn) and our website visitors using Google Analytics. We use this data to track the reach of our site and social media.

YOUR RIGHTS

In accordance with article 26 of the Finnish Personal Data Act you have the right to access your data and demand that we correct any inaccurate information in the database. You also have the right to restrict the processing of your data and make a complaint to supervising authorities. You have the right to forbid the use of your data in electronic direct marketing. You have the right to request the erasure of your data when data processing is not necessary. We will process your erasure request and either erase the data or present you with a justifiable reason for being unable to erase the data. If you want to access your data, please notify our contact person and we will provide you with a copy of your personal data and this privacy policy.

CHANGES TO OUR PRIVACY POLICY

Any changes to our privacy policy will be added to the United Founders website at www.unitedfounders.fi (in Finnish). An updated privacy policy is also available at our office.
